Introduction

At the STRATFORD FESTIVAL, we are committed to the protection of your privacy. In this notice we will explain why and how we, in the capacity as a data controller for our patrons, collect, use, disclose, retain and protect your personal data. We understand your rights and will explain how you can exercise those rights.

When we refer to STRATFORD FESTIVAL, ‘we’, ‘us’ or ‘our’, we mean THE STRATFORD SHAKESPEAREAN FESTIVAL OF CANADA, a charity  registered in Ontario. Our office is located at:

When we refer to ‘you’ we mean patrons utilizing our website, coming to the box office or getting in touch with customer service or staff onsite in our venues.

This Privacy Notice covers our use of your personal information, which is collected through or in connection with our website, box office or customer service. For the purposes of this Privacy Policy, “this Website” means all the web pages related to the stratfordfestival.ca site, excluding any links to third party sites.

What personal data do we collect and for what purposes?

 

Core Service Information

The STRATFORD FESTIVAL collects personal information directly related to the provision of our commercial activities. This includes but may not be limited to:

  • Contact information: first name, last name, address, email, phone number.
  • Date of birth, when age is an eligibility requirement for particular ticket prices or discounts.
  • Name(s) and age(s) of spouse/partner, dependents, and/or other familial relationships, when required for particular ticket prices or discounts.
  • A record of all tickets, subscriptions or goods purchased and donations made.
  • A record of website visit including tracking information unless “COOKIES” have been disabled*.
  • Health information as required by regulation or public health authorities.

 

*NOTE: Our website uses cookies. The cookies used fall into three different categories:

  • Essential and functional cookies;
  • Analytics cookies (third parties); and,
  • Advertising, marketing and social media cookies (third parties).

The essential and functional cookies will be used without your explicit consent as they are necessary to make our website work. Analytics, advertising, marketing and social media cookies on the other hand are optional. We have limited control over third party cookies and ask you therefore to manage the storage of third party cookies through your browser settings.

 

Optional Information

The STRATFORD FESTIVAL collects optional information that is required for enhanced service provision as well as analytics and marketing. This includes but may not be limited to:

  • Personal information about yourself provided voluntarily by you verbally or in writing including information regarding accessibility accommodations or special service requirements that have been requested on past visits.
  • Newsletter or promotional signup information.
  • CCTV footage when you visit our premises.

 

Voluntary Information

The STRATFORD FESTIVAL collects voluntarily information given to us as part of supporting functions around our core commercial activities. This includes but may not be limited to:

  • Responses to survey and/or focus group data.
  • Correspondence and communications with us including but not limited to enquiries, complaints, testimonials or notes on guest experience.
  • Posts on our social media channels, information that is publicly available on your Facebook wall, comments you leave on our website.

 

How and when do we process your personal data?

  • We collect and process your personal data when:
    • You open an account with us;
    • You buy tickets, subscriptions or merchandise (online or box office);
    • You visit our website;
    • You visit our social media sites;
    • You participate in surveys and focus groups;
    • You get in touch with Stratford Festival (phone, email or live chat);
    • You apply for a job;
    • You visit our office and events;
    • You make a donation; and/or
    • You sign up to attend a special event or enrichment activity.
    • You download and log in to our StratFest OnSite App.

Available on the Apple App Store and Google Play Store, all data listed on this page may be accessed by the StratFest OnSite App should you log in using your web credentials. All rights listed below apply to the StratFest Onsite App.


What is the legal basis for the personal data collection?

  • Implied consent: we use your personal contact information and payment data to enable you to buy tickets and merchandise or use a bus to an event. We assume that you understand that we need your contact and payment information to provide this service. We therefore will not ask for explicit consent at the time when you place an order and/or when you open an account.
  • Expressed Consent: we do not have a legal basis to collect demographic, geographic and technical information for analytics and marketing purposes. We will therefore ask for your expressed consent before we start the collection.

   

With whom do we share personal data?

  • The Stratford Festival does not lend, rent or sell its patron list to any organization or individual.
  • We may share your personal information with:
    • Our staff, volunteers and members of our Board of Governors;
    • Third parties that help us facilitate the provision of our services;
    • To comply with legal obligation in response to an inquiry from a regulatory authority, the police or other government bodies.

 

NOTE - A few of our partners that help us deliver our core services reside and operate in the US. All our US-based partners are Privacy Shield certified and therefore were able to evidence that sufficient safeguards are in place to protect your personal data. We will not ask for your expressed consent and we cannot offer you alternatives as our partner services are integral to the delivery of our core services.

 

How long do we keep your personal data?

Our policy is to keep your personal data for as long as you have an account with us and for 10 years after your last purchase, donation, or information request from us. Personal information that is no longer required to fulfil the purpose for which it was collected or required to be retained by law shall be destroyed, erased or made anonymous. An exception exists for planned giving or bequest donors which we retain for the lifetime of your gifting period.

 

Your rights

Right to access:
You can access your account any time through the website, by visiting our Box Office or by calling our Call Centre.

Right to rectify:
You can make changes to your account information at any time via our website, by visiting our Box Office or by calling our Call Centre. 

Right to restrict processing:
You can change your preferences at any time through your account settings or your browser settings and through contacting our customer service team.

Right to object:
You have full control over your account. Deleting your account will delete all associated personal data and consequently we will stop processing your personal data. Non-identifying personal information (purchase and donation history, etc.) will remain, but it will not be attached to your personal information in any way. Third party use of this data will be wiped after every contract period. While you have an account with us you can, at any time, change your preferences which will stop collection and processing of optional information.
